Backups and restore

Goal. Turn on the daily encrypted copy of the database and documents to the business's own cloud, keep the encryption key safe, verify the backups and restore when needed.

Prerequisites. The Administrator role. It opens from "Settings" › "Backups". Google Drive or OneDrive must be connected under "Integrations" with file permission. The feature only exists on installations prepared for it; elsewhere the screen states "Not available on this type of installation.".

Until backups are activated, the data only exists on the device: "Until you activate backups, your data only exists on this device.".

First activation

  1. "Connect your cloud": "Connect Google Drive" or "Connect OneDrive". The app will only see the folder it creates itself.
  2. "Save your key": the encryption key is generated in the browser and shown only once under "Save your encryption key". Keep it with "Copy", "Download …" or "Print QR card"; check "I saved it somewhere safe and understand it cannot be recovered if I lose it." and type the last four characters under "Type the last 4 characters of the key".
  3. "Choose folder, schedule and retention": the recommended values are ready, a daily copy at 03:00 with 7 daily, 4 weekly and 6 monthly.
  4. Click "Activate backups". The CRM confirms with "Backups activated".

Without the key there is no restore: the provider does not know it and cannot recover it.

Settings

  • "Destination": the connected "Account", an optional "Second destination" in the other cloud, the "Root folder", the "Subfolder structure" and the "File name"; the .zevli extension is fixed and identifies an encrypted backup.
  • "What's included": the "Database" always; "Case documents and attachments", differentially, only what is new since the last full backup of the month; and "Avatars and logos". "Today's backup estimate" anticipates the size.
  • "When": "Backups active" or "Backups paused"; the "Frequency", "Daily", "Every 12 h" or "Weekly", with the "Day" and "Time" in the organization's local time. Pausing stops new backups without touching the key, the destination or the existing backups.
  • "Retention": how many daily, weekly and monthly copies are kept at the destination. Only .zevli files created by the app are ever deleted; never other files.
  • "Encryption key": the fingerprint and creation date, "How to open a backup without the CRM" and "Regenerate key", which asks for confirmation and warns that older backups will only open with the old key.
  • "Notifications": the email "Recipients", the admin's and anyone added, for "Backup failed", "More than 26 h without a backup", "Destination account disconnected", "Verification failed", "Not enough space", "Key regenerated" and "Restores"; and the "Automatic monthly verification", which checks the integrity of the latest backup without opening it.
  • "Save changes" confirms with "Settings saved".

Status and history

The summary shows "Last backup", "Next backup" and "Encryption key", with the status "Up to date", "Running late", "Error", "Not set up" or "No backups yet". "Back up now" starts a backup and "Verify latest" checks the most recent one.

"History" lists each operation with "Date", "Type · destination", "Size", "Result" and "Actions": "Download", "Verify", "Verify with key", which downloads and decrypts the backup in memory without storing the key, and "Detail". The types are "DB + files", "Restore point", "Verification", "Full verification" and "Restore"; the results, "Successful", "Intact · verified", "In progress", "Error" or "Cancelled".

Restoring

"Restore from a backup" creates a restore point, puts the CRM into maintenance and restores the database and files.

  1. Click "Restore…". The dialog goes through "Backup", "Key" and "Confirm".
  2. Choose the backup and paste the private key under "Paste your private key"; the CRM answers "Key correct" or "That key doesn't match this backup".
  3. Read the warnings: a restore point of the current database is created in your cloud; the CRM enters maintenance; storage is left exactly as it was on the backup date and files created afterwards are deleted; the restore point only saves the database; and all sessions are closed, including yours. Your user must already have existed when the backup was made.
  4. Type "Your password", the one you sign in with, and "RESTAURAR" in the confirmation field, and click "Restore now". The CRM reports "Restore started. The CRM will enter maintenance in a few seconds." and, when done, "Restore finished".

If the restore fails, the CRM remains in maintenance and offers "Roll back to restore point", which leaves the database exactly as it was right before; it asks for the key and the password again.

"Procedure for a new machine" and "View procedure" show the steps and commands, already filled in with the installation's names, to bring the CRM up on another device from a .zevli backup, with or without the original CRM. Troubleshooting

  • "Set up the destination and key first." Complete the first activation.
  • "The key doesn't unlock this backup." The backup was encrypted with another key; if you regenerated it, use the previous one.
  • "Your account signs in with Google and has no password. Set one in My profile and come back: restoring requires confirming it." Set a password in your profile.
  • "Too many attempts. Wait 15 minutes." Wait before entering the key again.
  • "The destination account is disconnected. Reconnect it in Integrations." Reconnect Google or Microsoft.
  • "Not enough space in the destination." Free space in the cloud or reduce retention.
  • "Zevli Connect is not serving this installation because its license is not in force." Check "Settings" › "License".
  • "A backup or restore is already running. Wait for it to finish." Only one operation runs at a time.
