Forms, checklist and intake

Goal. Maintain the catalog of forms offered when creating a case, define the checklist each one generates in the case and the questions the client answers from the intake link.

Prerequisites. The Administrator role. It opens with "Manage the forms catalog", under "Settings" › "Services".

Adding a form

1. Under "Add form", type the "Code", for example the official number of the procedure, the "Label (ES)" and the "Label (EN)".
2. Click "Add". The CRM confirms with "Form added".

Each form's page

"Forms (N)" lists each one with "Active" or "Inactive". When opening it:

• "Services it appears in": check the services that offer it when creating a case; with none checked it appears in every service. These changes save automatically.
• "Case checklist (N steps)": the steps the CRM creates automatically in every new case that includes this form; existing cases do not change. If the form comes with a factory checklist, "Customize" copies it so it can be edited: "Checklist copied: you can now edit it.". Each step has "Step (Spanish)" and "Step (English)"; "Add step", "Move step up" and "Move step down" compose it.
• "Client intake (N fields)": what the client fills in from the link you send; on submit it arrives as a PDF in the case. Each field has "Question (Spanish)", "Question (English)", a type among "Short text", "Paragraph", "Date", "Number", "Options" and "Yes / No", and the "Required" box. An "Options" field needs at least two, separated with "|". Without fields, links for this form cannot be generated.
• "Save" confirms with "Changes saved"; "Delete" asks to confirm 'Delete "…"? Cases that already have it are not affected.'.

Troubleshooting

• "A form with that code already exists." The code must be unique; edit the existing one.
• The checklist cannot be edited. It is the factory one; click "Customize".
• "Generate link" is missing on the case. The form has no intake fields; add at least one.
• "An options field needs at least 2 options (separate them with |)." Complete the options before saving.
