Calendar

Goal. Schedule appointments with clients, see them by month, week, day or agenda, reschedule, complete or cancel them, and have them in Google Calendar or Outlook too.

Prerequisites. "View the calendar" to consult it and "Create and manage appointments" to create, edit and cancel; by default every role has both. For synchronisation, an administrator connects Google or Microsoft 365 in "Settings" › "Integrations", with the same connection documents use.

What the screen shows

  • Three figures: "Appointments today", "This week" and "Synced with the cloud".
  • The view selector, which shows the current view and drops down "Month", "Week", "Day" and "Agenda"; the arrows to move forward or back; and "Today" to return to the current date.
  • Each appointment shows its time, its title and, once copied to the cloud calendar, the "Cloud" badge. In month view, days with more appointments than fit show "N more".

Creating an appointment

  1. Click "New appointment".
  2. Type the "Title" and choose the "Date", the "Start time" and the "Duration".
  3. If applicable, choose the "Client (optional)", the "Assigned to" member and the "Case (optional)", and fill in the "Location or link (optional)" and the "Notes (optional)".
  4. Click "Save appointment". The CRM confirms with "Appointment created" and, with the cloud connected, copies it to the assignee's calendar.

If the assignee already has an appointment at that time, the CRM rejects it: "That person already has an appointment at that time.".

Rescheduling, completing or cancelling

Appointment detail

Clicking an appointment opens its detail with the client, the case, the location, the notes and "Assigned to: …". From there:

  • "Reschedule" opens "Edit / reschedule" with the same fields; "Save appointment" confirms with "Appointment updated".
  • "Complete" marks it "Completed".
  • "Cancel" asks for confirmation, "Cancel this appointment? It will also be removed from your cloud calendar.", and leaves it "Cancelled".

Troubleshooting

  • "No appointments in this period" There are no appointments in the view's range; change the view with the selector or use "Today".
  • The appointment does not show in Google Calendar or Outlook. No calendar is connected, or the appointment was created before connecting it. New appointments sync on their own; "Synced with the cloud" shows how many are.
  • "Check the appointment details." The "Title", the "Date" or the "Start time" is missing.
  • "Calendar" is missing under "Operations". Your role lacks "View the calendar".
