Campaigns

Goal. Prepare a campaign template, choose the client segment, check the reach, send yourself a test and launch the delivery over WhatsApp or email.

Prerequisites. The "Manage campaigns" permission, which by default only the Administrator has. A messaging channel connected in "Settings" › "Integrations". Only clients with communication consent and contact details for the chosen channel receive campaigns, with a maximum of 500 recipients per campaign.

The "Campaigns" screen has three tabs: "Launch", "Templates" and "History".

  1. On the "Templates" tab, click "New template".
  2. Under "Details", type the "Template name" and, for email, the "Subject (email)".
  3. Type the "Message" in the "Spanish" and "English" sections. "Available variables" lists the client data replaced when sending, such as the name.
  4. For a designed email, use "Email HTML (optional)": paste the HTML, generate one with "Generate with AI", or take a design from the email designer with "Choose from designer" or "Create in designer". "Preview" and "Code" switch the view; "Remove HTML" returns to text.
  5. Click "Save template".

Campaign templates

Each template offers "Use", "Edit", "Duplicate" and "Delete". When deleting, already-sent campaigns keep their history.

Launching a campaign

  1. On the "Launch" tab, type the "Campaign name" and choose the "Template" and the "Channel".
  2. Under "Segment", narrow by "Lead source", "Language", "Tag" and "Hired service", or leave "All".
  3. Click "Calculate recipients". The CRM shows "N recipients in this segment"; if you change the segment, "Recalculate reach".
  4. Review the message "Preview" with sample data. "Send me a test" delivers the message to your email or to the phone number you enter, with the [TEST] prefix.
  5. Click "Send to N", where N is the calculated reach, and confirm "You're about to send to N contacts via channel. Continue?". When finished, the CRM reports "Campaign sent: N of M".

History

Campaign history

The "History" tab lists each campaign with its date, channel and "N/M sent". Until the first campaign it shows "You haven't sent any campaigns yet" and the "Launch your first campaign" link.

Troubleshooting

  • "No recipients in this segment". No client matches the segment with consent and details for that channel. Widen the segment or check consents under "Clients".
  • "No provider connected for that channel (check Integrations)". WhatsApp or email still needs connecting; an administrator does it in "Settings" › "Integrations".
  • "Connect an AI provider in Integrations to generate with AI". "Generate with AI" needs a connected AI provider.
  • The campaign reached fewer contacts than the calculated reach. Delivery stops at recipients rejected by the provider; the detail stays under "History".
