Contracts

Goal. Generate a case's contract from its accepted quote, send it for e-signature or record a signature made outside the system, and follow the status of every contract.

Prerequisites. An "Accepted" quote on the case. The "Generate contracts" and "Send contracts for signature" permissions. The legal identity and the contract clauses are configured in "Settings" › "Contract". For e-signature, an administrator must connect DocuSign or Documenso in "Settings" › "Integrations".

Generating and signing

Generating the contract and marking it signed

  1. When the quote is marked "Accepted", the CRM creates the case contract in "Draft" status with the legal name, the clauses and the case data. If the case has no contract, the "Contracts" section shows "This case has no contract yet" and the "Generate contract" button creates it; without an accepted quote the button says so: "An accepted quote is required".
  2. For e-signature, click "Send for signature". The contract moves to "Sent for signature" and the client signs from their email; when done, the status changes to "Signed" and the team receives the "Contract signed" notification. Without a signature service connected, the CRM replies "Connect Documenso in Integrations to send for signature".
  3. If the contract was signed on paper or by other means, click "Mark signed (manual)" and confirm "Do you confirm the contract was signed outside the system?". It becomes "Signed" with the date under "Signed on".

"Download PDF" delivers the document in any status.

The case lock

With the contract lock on in "Settings" › "Cases", the case does not move to work stages until the contract is "Signed". See "Lock, closing, archiving and deleting cases" in the "Cases" category.

The list

Contract list

The "Contracts" screen summarises "Sent for signature", "Signed" and "Drafts", lists the "Recent contracts" with their case, client and status, and on the right shows the "Document preview" of the selected contract, with "Signed on" or the "Sign required" notice. Without a signature service connected, "Connect your signature service" appears with the "Connect e-signature" button.

Troubleshooting

  • "An accepted quote is required". Accept the case's quote first.
  • "Connect Documenso in Integrations to send for signature". There is no signature service. Use "Mark signed (manual)" if the client signed another way, or ask the administrator to connect DocuSign or Documenso.
  • The client signed but the contract is still "Sent for signature". The signature service's notice has not arrived yet. Wait a few minutes; if it persists, "Mark signed (manual)" records the signature and an administrator checks the integration.
  • The contract comes out with incomplete data. Complete the identity and clauses in "Settings" › "Contract" and generate the contract again on a new case; the one already generated does not change.
