Setting up the new equipment
Goal. Create the administrator account on the new equipment, transfer the license, load the data from the backup and get the connections and the backups working again.
Prerequisites. Everything gathered in "Before changing equipment". The new equipment arrives with the CRM installed by the provider and with an internet connection.
1. Creating the administrator account
- Open the CRM address on the new equipment. As the installation is empty, "Set up your CRM" is shown.
- Type the "Business name", your email, the same one you used on the previous equipment, and a password of at least 8 characters. Choose "What does your business do?" or "Other / I'll set it up later".
- Accept the "Terms and Conditions" and the "Privacy Policy" and click "Create my CRM". The CRM reports "We sent you a confirmation email. Once confirmed, sign in and your CRM will be ready.".
- Confirm the email and sign in. This sign-up only exists on a fresh installation; afterwards it closes on its own and team accounts are created by the administrator from "Settings" › "Team".
2. Transferring the license

- On entry, the CRM shows "License activation". Type the "Purchase email" and the "Activation code" and click "Fetch my license".
- As the license is still active on the previous equipment, the CRM answers "This purchase already has an active license on another installation. If you changed devices, you can transfer it to this one.". Click "Transfer the license to this device".
- The provider sends a confirmation email: "A confirmation email has been sent to …. Confirm the transfer from that message and then select “Fetch my license”.". Confirm from that email.
- Return to the CRM and click "Fetch my license" again. The CRM confirms with "License activated". From this moment the previous equipment loses the channels that go through Zevli Connect.
If the installation is not registered with the provider, the CRM says so with "This installation is not registered with your provider. Please use a license key to activate it."; then use "Activate with a license key" with the key your provider supplies.
3. Loading the data from the backup
The CRM restores through "Restore from a backup" only the backups it made itself: on new equipment the "History" is empty and that option does not offer the previous equipment's backup. Loading a backup from other equipment is done with the "Procedure for a new machine", available under "Settings" › "Backups" › "View procedure", which holds the steps and the commands already filled in with the installation's names. It is technical work: request it from your provider and have ready:
- The .zevli backup downloaded from your Google Drive or OneDrive. If the backup is differential, also the month's full backup it depends on; the procedure states it.
- The private encryption key. Hand it over only through a secure channel and, once the load is done, regenerate it: new backups will be encrypted with the new key.
When the load finishes, the CRM holds the users, clients, cases, payments, calendar, settings and documents as they were in the backup. Records made on the previous equipment after that backup are not recovered.
4. After loading the data
- Sign in with the credentials you used on the previous equipment: the users come with the backup.
- If "Settings" › "License" shows "License from another installation", the backup brought the previous equipment's license: click "Fetch my license" to activate this equipment's again.
- Under "Settings" › "Integrations", review each card and use "Connect" or "Reconnect" on those showing "Not connected" or "Error". Connections through Zevli Connect are redone with one click; those using credentials ask for their details again.
- Under "Settings" › "Backups", activate backups again on this equipment with "Activate backups" and a new key, and store it.
- Check under "Operations" › "Documents" that the files appear and, with the cloud reconnected, turn "In the cloud".
- Once everything is verified, ask the provider to wipe the previous equipment.

Troubleshooting
- "This license was already transferred within the last 90 days. To transfer it again, please contact your provider." Only the provider can authorise a second transfer within that period.
- "This purchase has no active license on another installation. Please select “Fetch my license”." No transfer is needed: the license is free and is fetched directly.
- "The confirmation email could not be sent. Please try again in a few minutes." Retry; if it persists, contact your provider.
- I cannot sign in after the data load. Use the previous equipment's password; the account created in step 1 was replaced by the users from the backup. If you forgot it, use "Forgot password?" on the sign-in screen.
- Integrations show "Error". The previous equipment's encrypted credentials do not work on this one; reconnect each of them.
- The backup was from an earlier CRM version. The load works when the version changes were compatible; if it fails, the provider restores it onto the same version as the backup.
