The public quote

Goal. Know what your client sees when receiving a quote by email: the detail, the PDF download and the buttons to accept or decline it.

Prerequisites. The quote is sent from the case page with "Send to client", as described in "Quotes" of the "Sales" category; the email carries the link and goes out through the email provider connected under "Integrations". The link expires after 30 days.

Public quote

The "Service quote" page shows the business's name and logo, the case number, the "Client", each concept with its quantity, price and amount, and the "Total". "Download PDF" downloads the quote. Below, the note "Case work begins once the contract is signed and the deposit is paid." and the links to the privacy policy and the terms.

Accepting or declining

The client accepting the quote

  • "Accept quote": the page confirms with "Thank you! You accepted the quote. We'll prepare your contract and reach out." and shows "Quote accepted ✅". In the CRM the quote turns "Accepted", the contract draft is created and the team gets the notification.
  • "Decline": the page confirms with "We noted that you declined this quote. Thanks for letting us know." and shows "Quote declined". In the CRM the quote turns "Rejected".

The decision is recorded once; on reopening the link, the client sees the status and "This quote has already been answered.".

Troubleshooting

  • "This link has expired." Thirty days passed since sending. Send the quote again from the case with "Resend by email".
  • "This quote has already been answered." The client already accepted or declined; the status is on the case page. To change it, the team uses "Mark accepted" or "Mark rejected".
  • The buttons are missing. The quote is not in "Sent" status: only sent quotes can be accepted or declined from the link.
  • The client did not receive the email. "The client has no email. Add it on their page to send the quote." or "Connect email (Resend) in Integrations to send the quote.". Complete the email on the client's page or connect the provider.
